An incident that could necessitate an insurance claim is termed as an event giving rise to a claim*
If an event giving rise to a claim takes place, it's essential to notify us as soon as practically possible, as there are specific claim conditions in every insurance policy that must be fulfilled. The timeliness of the notification is crucial.
Once you become aware of an event giving rise to a claim, inform us immediately, and Howden will guide you on the subsequent steps. Please note: In the event of a claim, you must, as soon as reasonably practical, take all reasonable steps to prevent further bodily injury or property damage from arising out of the same or similar condition.

*Claim means:
Any actual Claim made against the Insured; the receipt of written notice from any person of an intention to make a Claim against the Insured; irrespective of whether the amount of the claim is likely to be within or above the amount of the Excess, if applicable, specified in the Schedule.
Reporting a claim made against you:
If you have received a formal letter of claim from a solicitor please immediately forward the correspondence to [email protected].
If you have received it as a physical document, please scan or photograph all pages and send them immediately to [email protected].
Reporting an injury to someone else:
If you are a coach or club representative and need to report an injury to someone else, or damage to their property, please report this via the Welsh Gymnastics Membership System.
Important information relating to claims reporting and conditions
You must comply with the following conditions. If you fail to do so, the Insurer may not pay your claim, or any payment could be reduced. It is your responsibility to prove any loss and therefore, we may ask you to provide any relevant information, documents and assistance we may require to help with your claim. You must:
1. Give notice in writing to Insurers directly or via Howden as soon as reasonably practicable of the discovery of any Occurrence, or circumstance which may give rise to a claim under this Policy.
2. Notify Insurers directly or via Howden as soon as possible giving full details of what has happened.
3. Comply with any reasonable request made by Insurers for information in relation to any claim made under this Policy.
4. Forward to Howden as soon as possible, directly, by emailing [email protected], or through the ‘report a claim’ link on the Welsh Gymnastics membership portal. Notification of the claim must happen no later than fourteen (14) days, if a claim for liability is made against you, any letter, Claim, summons or other legal document and any related correspondence you receive unanswered.
5. Inform Insurers as soon as reasonably practicable of the notice of any impending prosecution or inquest which may give rise to a claim under this Policy and comply with any reasonable request made by Insurers.
6. Not admit liability or offer or promise or agree to settle any Claim without the Insurer’s written permission.
7. Take all reasonable care to limit any loss, damage or injury.

Abuse, Professional Indemnity and Directors and Officers Claims must be notified within the same period of insurance you become aware of the incident. Such circumstances cannot be accepted as a claim under this insurance unless declared within the current policy period.
The personal accident cover provided as a benefit of Welsh Gymnastics membership assists with the cost of rehabilitation treatment such as physiotherapy, manipulative massage and soft tissue treatment, however this is not a private medical insurance and the costs of medication, private consultation and surgery are not insured.
PLEASE NOTE: In order to be considered by the insurer all invoices for outpatient treatment must confirm the area of the body that has been treated. Invoices that do not provide this information will be returned, unpaid, for amendment by the treating practitioner.
Cover may be included for an x-ray or MRI scan, if this is deemed to be medically appropriate by a registered medical practitioner in respect of the injury suffered. You should refer to Howden UK Brokers Limited and email to be confirmed to agree this cover prior to any costs being incurred.
