Collection and use of your data

It is generally possible to use our website without providing any personal data. Nevertheless, personal data is sometimes processed. You can see when this is the case in the following illustrations.

Informational use

For the purely informational use of our websites, it is generally not necessary for you to provide personal data.

In this case, we only collect and use the data that your internet browser automatically sends to us, such as:

Contact employees via email

You can contact us by sending us an email. You can send these, for example, to [email protected] or to personalized email addresses of our employees. The data that we receive by sending your email to us (for example: your name, your email address and your message itself) will only be used by us for the purpose of answering your query. Once processing is completed, the information will be deleted. Data is only retained for a maximum of 10 years as part of the legally required archiving of email traffic (emails are business and commercial letters).

When communicating via email, we cannot guarantee complete data security, so we recommend that you use the postal service for information that requires a high level of confidentiality.

Request for quotation

You can send us a quote request using a form on various subpages. The information collected in the form (subject, name, company, telephone, email address) as well as your message will only be used by us for the purpose of answering your query. Once processing is completed, the information will be deleted. Data will only be retained for a maximum of 10 years as part of the legally required archiving of email traffic (emails are business and commercial letters).

However, your information will not be deleted if the processing of your data is necessary for the fulfillment of a contract to which you are a party or to carry out pre-contractual measures. In this case, the processing is lawful in accordance with Article 6 Paragraph 1 Letter b) GDPR.

Your data will be deleted if storage is no longer necessary to achieve the purpose and there is no obligation to store it in an audit-proof manner.

ComplyAdvantage

Before and after the conclusion of the contract, we regularly carefully check whether there are any obstacles to the conclusion of the contract or the further implementation of the contract with you, such as EU and US sanctions. For this we use the ComplyAdvantage tool. This is an AI-based tool that merges and compares the status of politically exposed persons (PEP) and sanctions lists. If a hit occurs, a clerk carefully checks whether the person with whom a contractual relationship is to be entered into is actually the person on the sanctions list. For more information about ComplyAdvantage, visit https://complyadvantage.com/terms-and-conditions

 The names or pseudonyms of the people are inevitably processed, as is their date of birth for the purpose of more precise identification. Without this personal data, a more detailed check would not be possible. 

Data processing is also limited to the necessary period of 6 months, i.e. we delete the personal data no later than 6 months after we have decided whether or not a contractual relationship has been entered into with you. 

If there is an existing contractual relationship, storage is limited to 3 years, meaning we will delete your personal data no later than 4 years after termination of the contract.

 Legal basis for processing

The legal basis for the processing, testing and use of the ComplyAdvantage tool is Article 6 Paragraph 1 Letter b and Letter c in conjunction with Letter f GDPR. Our legitimate interest lies in compliance with the prohibitory standards (so-called anti-terror regulations of the EU and the USA) and not being sanctioned by the relevant authorities. We are also legally obliged to compare these sanctions obligations.

Service provider used

IVXS UK Ltd, trading under the trading name ComplyAdvantage, has its registered office at 90 Long Acre, 4th Floor, London, WC2E 9RA, UK.
 

We use the tool as part of an IT agreement with the parent company Howden Broking Limited (UK). For this purpose, order processing contracts were concluded in order to comply with the requirements of Art. 28 GDPR and to guarantee your data protection rights. Attention was paid to the existence of appropriate technical and organizational measures. We use ComplyAdvantage with our own account, so that separate data processing from the other companies in the Howden Group is guaranteed.

Damage report

You can submit a damage report using a form on various subpages. The information collected in the form (subject, name, company, telephone, email address) as well as your damage report will be stored by us if you are a contractual partner of ours. In this case, the processing is lawful in accordance with Article 6 Paragraph 1 Letter b) GDPR.

Your data will be deleted if storage is no longer necessary to achieve the purpose and there is no obligation to store it in an audit-proof manner.

Applications / job offers

You can find job offers on various subpages. It is important to HOWDEN CANINENBERG GMBH to ensure the highest possible protection of your data during the application process. All personal data that is collected and processed by us as part of an email application is protected against unauthorized access and manipulation by technical and organizational measures. Nevertheless, we cannot guarantee complete data security when applying by email. This is particularly not the case because you send us your application documents unencrypted by email. We therefore recommend that you use the postal service for information that requires a high level of confidentiality. As soon as the application process for a position is completed, we will delete all applicant data.

Use of cookies

We use cookie technology for our websites. Cookies are small text files that are sent from our web server to your browser when you visit our website and are stored on your computer for later retrieval.

Data security
