Our administration department takes on all tasks related to the management of mandates, including correspondence. We use our in-house CRM (Customer Relationship Management) system to capture data, giving you full visibility and control over customer contracts and data. Data maintenance is carried out on the basis of submitted broker mandates, applications, cancellations and notifications from brokers and customers.
In addition to managing customer data, we also prepare ongoing postal correspondence for you. We take care of your customer mail with white-labelled stationery that includes your logo and signature. Incoming policies, premium statements and customer letters are also stored in the CRM and can be accessed at any time. When a broker mandate is submitted, the documents are checked for completeness before being forwarded to the desired companies. We also check the reallocation of the contract portfolio so that you have no further work. In the same way, we manage submitted broker mandate and contract cancellations, including controlling, in order to receive the cancellation confirmations. We want to ensure that everything runs smoothly for you.
We take a similar approach to submitted applications. Here, a brief completeness check is carried out and the documents are then submitted to the companies. This way, you have a four-eyes principle and can avoid unnecessary enquiries and requests for second signatures due to minor careless mistakes. We also check the issuance of confirmations of acceptance and cover notes. With us, you also have full control over costs. We process the commission statements and provide you with a monthly statement of incoming and outgoing commissions, giving you access to a clear overview at all times.
You also receive full support at the technical level. With our specialist team, we offer you expert advice on enquiries and take over the tenders in the private and SME segment, including BVG, with the data you provide. For this purpose, we provide you with simple interactive offer forms for the individual lines of business, in which you can compile the most important data for the tenders. We check the incoming offers for completeness and, if necessary, make our own calculations. You then receive the completed offers for final comparison and discussion with your customer. When preparing the offers, we always try to find the best price-performance ratio for your customer and also negotiate continuously with companies to obtain framework contracts or special conditions.
To make it easier for you to get an overview of the complex world of insurance and the insurance options available from the companies, we create our own performance comparisons and offer you pre-prepared forms for comparing offers. This enables you to create transparency for your customers regarding the services provided. To ensure that you are always up to date and able to clarify uncertain areas, we regularly organise seminars and further training courses. Here you will receive useful information and answers to current topics, which we underline, among other things, with lectures from specialists of the insurance companies. Furthermore, we provide you with useful documents and information exclusively on our own extranet.
To help you in demanding times or with complex tenders, we offer you additional contract work for an hourly fee:
We will prepare comprehensive advice/analyses and calculations (risk analyses) for you, as well as offer comparisons after the call for tenders. You will receive the fully prepared documents and recommendations for the customer appointment. If you wish, we can also attend appointments with you at your customer's premises. We are happy to assist you with further technical advice (including the drafting of contracts or clarifications of existing contracts) and, if necessary, clarify matters directly with your customer. If you are going on a well-deserved holiday, we will be happy to take over your holiday stand-in (taking phone calls, answering customer emails, etc.). We can also send correspondence directly to the customer.
